Salary Range: $17.00

General Purpose:
Under the general supervision of the Senior Center Director. This position plans, organizes and coordinates a community recreation program for senior adults, including cultural arts, physical activities, health activities, human services, and special interest classes and programs.

Essential Functions:
· Answer and manage multiple incoming phone lines with professionalism and efficiency.
· Direct calls to the appropriate personnel.
· Take detailed messages and ensure timely delivery to your supervisor.
· Provide general information to callers regarding services and department details.
· Maintain and update client contact lists and appointment calendars.
· Perform general office duties, including greeting visitors and managing incoming mail.
· Assist with administrative tasks such as filing, data entry, and maintaining office supplies.
· Provide exceptional customer service and handle inquiries or concerns in a friendly and professional manner.
· Learn the core responsibilities and functions of each position within the department.
· Step in to cover shifts or fill in for absent team members, ensuring that daily operations continue without disruption.
· Assist in training and cross-training team members to support departmental flexibility.
· Maintain knowledge of departmental processes, tools, and systems to handle tasks effectively in any role.
· Collaborate with team members to ensure tasks are completed on time and meet quality standards.
· Communicate effectively with department leadership to ensure smooth transitions and coverage for absent employees.
· Provide administrative support or customer service as needed, depending on the role being filled
· Work closely with the Director to understand project requirements and deadlines.
· Coordinate and execute tasks according to project timelines.
· Track project progress and ensure all deliverables are completed on schedule.
· Communicate effectively with the director to provide updates and gather necessary information.
· Prioritize tasks and handle multiple projects simultaneously.
· Address any challenges or roadblocks with the director promptly to ensure the smooth flow of work.
· Ensure all work meets quality standards and expectations set by the Director.
· Maintain accurate and up-to-date records as directed by the supervisor.
· Assist with the coordination and preparation of scheduled events, ensuring everything is organized and on track.
· Be available to work overtime as needed for special events or busy periods.
· Assist with meal preparation, ensuring all food is prepared according to guidelines and schedules.
· Help with cleaning and maintaining the kitchen and event areas to ensure a clean, safe, and organized environment.
· Perform other duties as assigned by the director to support the team and contribute to the smooth operation of events and services.

Knowledge, Abilities and Skills:
  • Considerable knowledge of the equipment, facilities, operations and techniques used in a comprehensive community recreation program;
 
  • Skill in operation of listed tools and equipment; Skill in First Aid and CPR.
 
  • Ability to develop, coordinate, and direct varied activities involved in a community recreation program; Ability to establish and maintain effective working relationships with employees, supervisors, other agencies, participants, instructors, community leaders, and the general public; Ability to communicate effectively orally and in writing; Ability to plan and supervise the work of paid staff and volunteers.


Minimum Qualifications:
  • Graduation from high school or GED equivalent.
 
  • Must have previous office and or management experience
 
  • One year of demonstrated recreation experience.
 
  • An equivalent combination of education and experience.

Tools and Equipment:
Personal computer, including word processing and data base software; calculator; copy and fax machine; phone; mobile or portable radio; automobile, van, and accessible van.
