Data and Operations Support – Full-time, Hourly Non-Exempt
Reports to: Claremore Economic Development Executive Director
Wage Range: $16.00 to $20.00
This position will be a full-time work week – primarily Monday – Friday; 8 am – 5 pm.

Job Summary:
The Data and Operations Support position plays a key, detail-oriented role in the day-to-day operations of Claremore Economic Development, providing reliable administrative assistance and contributing to the upkeep of essential data functions. This individual will manage financial transactions, track internal processes, support communication and strategic initiatives, and assist with both internal and public-facing projects. The ideal candidate is detail-oriented, finds satisfaction in performing consistent and occasionally repetitive tasks with precision, and takes pride in contributing to a mission-driven organization from behind the scenes. This is a long-term, stability-focused role, well-suited for someone who is dependable, organized, and takes pride in providing consistent support over time within a mission-driven organization. For this role, candidates should value structure, consistency, and the ability to develop routines within their responsibilities, while also being adaptable and flexible as the organization as a whole evolves and responds to changing needs

Minimum Qualifications:
  • High School diploma or equivalent
    • AND 2-3 years in relevant experience;
    • OR any equivalent combination of education and progressively responsible experience, with additional work experience substituting for the required education on a year for year basis.

  • Ability to maintain high confidentiality
  • Excellent knowledge of PC and related software including, but not limited to MS Office, Google Suite, Adobe Products, and QuickBooks

Preferred Qualifications:
  • Preference given to some college or Associates Degree in finance, public administration, political science, human resources, business management, or a closely related field,
  • OR 3-5 years in relevant experience
  • Working knowledge of the principles and practices of modern public administration
  • Experience in stakeholder relationships, as well as system and process development and improvement
  • Ability to think ahead and plan over a 1-2-year time span
  • Ability to organize and manage multiple priorities both short and long-term
  • High performing, strong team player
  • Demonstrated commitment to organizational mission and values.
  • Experience performing accounts payable and financials
  • Working knowledge of software platforms including: Dropbox, Constant Contact, ExecutivePulse CRM, Canva, and Asana

Primary Duties and Responsibilities:
Financial Administration:
  • Manage accounts payable/receivable and financial data entry (e.g., sales tax, airport financials)
  • Reconcile financial statements, run reports, and assist with budget monitoring
  • Maintain internal purchasing procedures, process receipts, and support audit readiness.
  • Coordinate with finance committee and provide reporting support to committee members.

Operations and Administrative Support:
  • Schedule meetings, travel, and events for staff; maintain internal calendars and deadlines.
  • Prepare agendas, minutes, presentations, resolutions, ordinances, contracts, administrative policies, and assist with document proofreading.
  • Support internal communications and strategic project coordination.
  • Maintain confidentiality on sensitive projects and activities.
  • Assist with maintaining and updating the property and RFP database, and support the team in responding to commercial real estate inquiries as directed
  • Coordinate internal progress tracking related to economic development initiatives.
  • Assist with scholarship and workforce development programs.
  • Provide support for job board, career fairs, and intern supervision as needed.
  • Maintain CRM systems
  • Contribute to marketing material coordination.
  • Provide support with branded merchandise and outreach materials as directed, including inventory tracking and assisting with distribution, while final decisions on design remain with designated staff
  • Represent Claremore Economic Development professionally to the public, businesses, and partner organizations.
  • Attend professional development events and contribute to committee work as assigned.
  • Improves accurate, effective, quality results by studying, evaluating, and re-designing processes; implementing changes when necessary.
  • Represents Claremore Economic Development by welcoming visitors, answering phones, reviewing correspondence; scheduling and arranging meetings and events
  • Completes projects and special assignments by understanding objectives; obtaining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans.
  • Performs other duties as assigned

Special Requirements:
  • Valid Oklahoma driver’s license, or ability to obtain one at time of hire in order to transport self to meetings and facility visits related to position.


Physical Demands:
The majority of this position takes place within a traditional office environment. Additionally, this position may include off-site business visits to area companies and related workforce-based events, including manufacturing facilities or outdoor events which may have excessive noise or exposure to heat, cold and environmental elements.
